Notes are for you; reports are for them

Session notes are your memory. Five lines after each lesson mean you start the next one knowing exactly where you left off — and when a parent asks how things are going, you have the answer in front of you.

A progress report is a different document for a different reader. A parent wants to know three things: is my child improving, what are they good at, and what happens next. Keep it short, lead with the summary, and tie each goal to a status they can understand at a glance.

Writing goals parents can follow

“Get better at algebra” cannot be marked as achieved. “Solve a quadratic by factorising without prompts” can. Set two to four goals at the start of term, written so that you and the parent would agree on whether they were met, and report against those same goals at the end.

Reports are your best retention tool

Families rarely stop tutoring because lessons are bad. They stop because they cannot see the progress. A clear report at the end of each term is often the reason a family books the next one. There is more on that in how to retain tutoring students.

Questions about this tool

What should tutoring session notes include?

What you covered, what went well, what still needs work, any homework, and the plan for next time. Five short sections, written in under five minutes straight after the lesson, while you still remember it.

How often should I send parents a progress report?

Once a term suits most families, with a short message after any lesson where something notable happened. A report every week is more than most parents read; none at all leaves them wondering what they are paying for.

Is the information I enter saved anywhere?

No. The template fills in your browser and nothing is uploaded. Print it, save it as a PDF, copy it into an email, or download it as text before you close the page.

Can I use this for online lessons?

Yes. Copy the text into your follow-up message straight after the lesson — it formats cleanly in email and messaging apps.
