Invoice the way parents pay
Most late payments are not refusals — they are invoices that were unclear, arrived at a bad moment, or had no obvious way to pay. Put every session on its own line with a date, so a parent can match it to their calendar. Put the total and the due date where nobody has to look for them. And put your payment details on the invoice itself, not in a separate message.
Pick a rhythm and stick to it. Invoicing on the same day each month, or at the end of each block of lessons, means parents learn when to expect it.
Numbering and record keeping
Give each invoice a unique, increasing number — INV-001, INV-002 — and never reuse one, even for a corrected invoice. Download the CSV each time and keep them in one folder. At the end of the year that folder is most of your bookkeeping done.
Make the payment terms do the work
A due date with no policy behind it is a suggestion. Agree your payment terms, late cancellation charges, and what happens when an invoice is overdue before the first lesson, in writing. The tutoring policy generator writes that for you in plain language.
Or skip invoicing altogether
Invoices exist because payment happens after the lesson. When students pay at the time of booking — on your own website, by card — there is nothing to chase. That is what a TutorPax site does, without taking a commission on what students pay you.
Questions about this tool
Is anything I type stored?
No. The invoice is built in your browser and nothing is sent to a server — there is no account and no database behind this page. Close the tab and it is gone, so save the PDF before you leave.
How do I save the invoice as a PDF?
Press “Print or save as PDF” and choose “Save as PDF” as the printer. Only the invoice itself is printed — the form, menus, and footer are hidden automatically.
Do I need to charge tax on tutoring?
It depends on your country and your income. In many places private tutoring is exempt or falls below a registration threshold, so the tax line defaults to zero. Check your own position before adding it.
What should a tutoring invoice include?
Your name and contact details, who is paying, a unique invoice number, the date issued and the date due, each session with its date, length, and rate, the total, and how to pay. That is what the template produces.
What is the CSV for?
Your records. Open it in Excel, Numbers, or Google Sheets to keep a running list of what you have billed, which makes your year-end tax return much faster.
